IN - Indianapolis 500 Festival Parade - 5/25

Hello, Midwest Garrison!

On the 30th anniversary of ROTJ (and 36th of ANH, of course), Bloodfin Garrison and Mos Espa Base will be participating in the Indianapolis 500 Festival Parade to promote the opening of Star Wars: Where Science Meets Imagination at the Indiana State Museum.

I will be updating this thread with more info after our quarterly meeting next weekend, but I at least wanted to put a thread up to get things rolling so people could make travel arrangements if they wanted. You will also eventually need to get an account on our local forums at bloodfingarrison.com to get access to the WSMI forum.

The 500 Festival said that we could have up to 100 people participate in this event not including handlers, so there is plenty of room for everyone!

This event will be the entire day-- meeting at the museum at 8 AM, getting to the staging area by 10, and then marching at 1.

This is a movie canon/ Clone Wars canon event only. No EU costumes/ special pauldrons/ patches/ stickers/ neon Jedi costumes/ Holiday Special Boba Fetts permitted. If you have any questions, please ask.

If you plan on participating as a face character, please sign up with both the face character and a backup costume if you have one. We're still working out details for face characters, as the decision will probably come down to LFL since they're the ones approving all the costumes like what was done with the Rose Bowl parade. There will also be only one of each face character in the parade.

You will have to get pictures taken and submitted for approval by March 15th. Front, back, and head shot. Those can be emailed to me. There will also be release forms and a background check that will need to be done in order to participate, and I can email that to you.

Since this is the same weekend as the Indy 500, know ahead of time that you will not be able to find a hotel room. The Indiana State Museum is, however, working on some sort of sleepover situation in the museum at least Friday nite, which is also the midnite opening of the exhibit that you are more than welcome to troop as well. There will also be another event Saturday evening at 6 PM if you're really in it for the long haul.

This a gigantic event with worldwide coverage, and we hope that our brothers and sisters from all around will come and march with us!

From the meeting re: opening weekend and requirements to participate in the parade:

March 15
Photos must be emailed to me at mhofmann at gmail by then- front, back, bucket off

Friday 5/24

There is a lunch with the rich people who donated a bunch of money for the exhibit that we can troop.
Midnite opening is from 12-4 AM
They're planning on having some sort of sleepover situation at the museum, so if you're crazy like me and going to troop lunch, the midnite opening, and then the parade, you'll be able to sleep and shower at the museum before the parade.

Saturday 5/25
That day we'll meet at the museum at 8 AM, change there, and then take a charter bus to the armory as staging area. We'll also receive a police escort to the armory.
Need to be at the armory by 10 AM, and the parade starts at 1 PM.
There will be strict rules for handlers. They'll have to wear khakis and WSMI tee shirts provided by the museum.
There will be cars for Vader and Chewie
The parade route is about 2 miles and starts at North and Penn and ends at 11th and Meridian.
There will be a Vader balloon and a school band playing Star Wars music.
There is a party that evening for all the band students who participated in the parade. Starts at 6. Can troop the dinner as well as the exhibit.

I'm going to add this to our calendar. I am almost tempted to move this to the Event planning so all Garrison members would see it, plus now that I fixed your permissions Mr Hoffmann. :) Let me know.

I just wanted to remind everyone that we're now two weeks away from the picture deadline. Even if you're still on the fence about going, I'd suggest at least getting your pictures taken and sent to me at mhofmann @ gmail .com, and then you won't be left out if you actually can go.

Just to let everyone know, Mary Franklin has said that we can extend the deadline a month, so you've now got til April 15th to get stuff in for the parade.

Just a couple updates:

1. Mary Franklin extended the deadline until the 15th of this month, so if you'd still like to go to this event, you've got 9 days to get pics in.

2. The museum does not have forms from
- Ted (I know you just signed up)

These forms need to be in by the end of the month or else you will not be able to participate. If you do not have copies of the forms, go the WSMI forum on the Bloodfin boards or shoot me an email at mhofmann at gmail.

Here's the plan of attack for opening weekend:

All weekend
  • The changing area for the weekend will be on the third floor near the volunteer office.
  • There will be two rooms for changing/ sleeping and one room for eating.
  • Please bring your own bedding.
  • Showers are also available.
  • Park in the underground parking garage located directly in front of the museum. Bring your parking pass in with you for reimbursement.
  • An exclusive patch has been made by the museum for the troop and will be $2 each. It's the outline of the Falcon with the exhibit name, the museum name, and the dates and is outlined in gold thread. These are limited to 150 patches, so everyone will get the opportunity to buy 1 and then people can fight over the rest of them. Please bring cash so we can collect funds and pay the museum.

Friday
  • Breakfast, lunch, and dinner will be provided on Friday via McDonald's as well as snacks/ fruit in the food room. They're pushing McWraps.
  • The first troop is from 8 AM - 2 PM. There's going to be a lull between about 10 and 12 so staff can reset and eat, so either be there early to be with the first group or come at about 10 to prepare for the second group.
  • There will be a break from 2-5 PM
  • There will be limited access to the museum from about 5-7 PM on Friday, so please plan to be in the building before 5 or after 7.
  • There is an event from 6-8 that is Falcon only if people want to troop around there.
  • We will have free access to the exhibit from 8-10 PM, but not the Falcon due to another event that evening. Falcon access will be on Saturday and Sunday.
  • Midnite opening guests can start lining up at 10 PM and will also be in the lobby area around the Falcon. There will also be several events like trivia contests, X-Box tournaments, and other stuff going on, so there are plenty of places to hang out and troop.
  • Once the midnite opening starts, please keep time in the exhibit to a minimum due to crowds and capacity levels- no more than 15 at a time and only for trooping and not viewing the exhibit. We can be in the 3rd floor hallway outside and primarily in the lobby around the Falcon.
  • Depending on ticket sales, the event will shut down at either 2 or 4 AM.


Saturday
  • Breakfast will be provided. There will be snacks of some kind and water as we wait for the parade to start, but there will most likely not be actual lunch.
  • We need to be changed and ready to board the buses at 9 AM. You can obviously carry parts of your costumes and not be totally dressed the entire time we wait, but the buses will not be staying and you will not be returning to the armory, so you can't bring your tubs with you or change at the armory.
  • Handlers must wear khakis. I also need to know shirt sizes before the parade as all handlers will receive a free exhibit tee shirt that they must wear during the parade.
  • The parade starts at noon and it is two miles with no stops. Here is the route: http://www.500festival.com/sites/default/files/parade%20route_0.gif
  • At the conclusion of the parade, we will be bused back to the museum.
  • Once back at the museum, you will be able to go to the exhibit again and ride the Falcon. You can also troop if you'd like.
  • Dinner will be at Scotty's Brewhouse at 1 Virginia Ave downtown at 7:30. It's about a 15 minute walk from the museum, or there is garage and street parking around the restaurant.
  • Please let me know if anyone is intending on spending the nite in the museum again Saturday nite.


Sunday and Monday
  • There is nothing currently scheduled, so pass out, go home, do something else, or come back to the museum and troop.
